Payments & Cancellations Regarding Accommodation


If you need to change or cancel your reservation, please send us an email. Our email is: k.kawada@japanesque.xyz 
Cancellation requests are processed on Business Days (Monday through Friday 9:00 to 17:00 Japan Standard Time). 
The customer is responsible for paying the following cancellation fees:


For group with less than 8 guests:
·  8 Working days: No charge
·  7-4 Working days: 20%
·  3 Working days or less: 100%
·  No show: 100% x nights of no show
For example, if you cancel your reservation on Friday and your stay is on Tuesday you will be charged a cancel fee equal to 100% of the total bill.


For group with 8 or more guests:
·  1 Month (31 days) before your stay: 20%
·  11 Working days or less: 100%
·  No show: 100% x nights of no show
For example, if you have a reservation for 10 guests, and 3 weeks before your stay 1 guest cancels, a 20% of that guest fee would be required.
(Working days are Monday through Friday 9:00 to 17:00 Japan Standard Time)
 
1.  Any cancellation fees will be deducted from the customer’s credit card.


2.  If a customer does not provide a VALID credit card, then their reservation may be CANCELED without notice.


3.  If the customer cancels the remainder of their stay at the Ryokan, the customer will be charged a 100% cancellation fee. For example, a customer makes a reservation for 5 nights and stays for only 2 nights then the customer will be charged a 100% cancellation fee for the remaining 3 nights. Please remember that Ryokans are not large businesses and cannot 
quickly find other customers to fill an empty room.


4.  If the customer wishes to change their reservation (not cancels, but changes the date of their reservation), we need at least 3 business days (Monday through Friday 9:00 to 17:00 Japan Standard Time) prior to the reservation date to contact the ryokan to make the necessary changes. Depending on availability status of the ryokan, your request for reservation change may not be accepted.


5.  Japanese ryokans are an old-fashioned type of business, and credit cards are NOT widely accepted. If cash is required for additional charges (ex. hot spring tax, beverages), please pay with JAPANESE YEN and at the front desk upon request by the Ryokan. Traveler’s checks are also NOT accepted. 


6.  The Ryokan may cancel the Accommodation Contract under any of the following cases:
o  When the customer has violated the laws or acted against public order or good morals in regard to the accommodation;
o  When the Ryokan is requested to assume an unreasonable burden with regard to the customer;
o  When the Ryokan is unable to provide accommodation due to natural calamities and/or other causes;
o  When the customer does not observe prohibited actions such as smoking in bed, mischief to the firefighting facilities and other prohibitions.


7.  If you wish to cancel your reservation, please send us an e-mail as soon as possible. If you do not receive a cancellation notice from us, your reservation has NOT been canceled. If you do not receive a cancellation notice, please contact us again.


8.  Accommodation Japanesque is not responsible for assisting the customer who cancels the reservation or does not appear at the Ryokan on the agreed reservation date. Accommodation Japanesque will also not be held responsible for any of the terms listed in Section 5.


9.  The customer is responsible for the final details of the reservation. We assume the customer has read and understood the ryokan’s entire web page (photos, description, ryokan facilities, prices and meals, directions) as well as the final confirmation e-mail sent to the customer which includes the ryokan’s name, reservation dates, meals, total price, check-in and check-out times, curfew time, ryokan’s telephone number, and directions. Accommodation Japanesque makes every effort to ensure the above information is correct. However, if there are any errors or misunderstanding it is the responsibility of the customer to contact Accommodation Japanesque and correct those errors or misunderstandings.


10. The customer is responsible for printing up and bringing all the necessary details of their reservation. The customer must print up and bring the ryokan’s English and Japanese addresses, map (if available), and directions found on the ryokan’s web page. The customer must also print up and bring the final confirmation e-mail which includes the ryokan’s name, reservation number, reservation dates, meals, total price, check-in and check-out times, curfew time, ryokan’s telephone number, and directions.
